Our Archiving Service is designed for customers, families and organisations who want valuable video and film preserved in a higher-quality digital format suitable for long-term storage, future editing and re-encoding.

At Video to Digital Conversions, we can create both an easy-to-use viewing copy and a higher-quality archival master, giving you the best of both worlds: convenient access now and a stronger preservation copy for the future.
 

What Is an Archival Master?

An archival master is a high-quality digital file created with preservation in mind.

Instead of compressing the footage heavily into a small file, the archival version retains much more of the information captured from the original tape or film.

This gives you a better master file for:

  • Long-term preservation

  • Future editing

  • Restoration work

  • Re-encoding into newer formats

  • Creating additional viewing copies later

The archival master is kept as close as practical to the original source, without unnecessary processing or enhancement.
 

Professional Archiving Workflow

Each format requires a different approach, so we use dedicated playback and capture equipment rather than a one-size-fits-all system.

Depending on the media, our workflow can include:

  • Inspection of the tape or film before playback

  • Cleaning where required

  • Mould assessment and treatment

  • Dedicated playback equipment for the specific format

  • Time Base Correction and signal stabilisation for analogue video

  • Professional digital capture

  • Direct FireWire transfer for compatible digital tape formats

Professional Archiving Equipment

The quality of an archival transfer depends heavily on the equipment used to play back and capture the original media.

We use professional and specialist hardware for different formats, including:

  • Professional U-matic playback equipment

  • Sony professional MiniDV and DVCAM decks

  • Blackmagic Design UltraStudio capture hardware

  • Blackmagic Design professional video interfaces

  • Time Base Correction and signal stabilisation equipment

  • Dedicated VHS and VHS-C playback equipment

  • Dedicated Video8, Hi8 and Digital8 playback equipment

  • FireWire-based MiniDV transfer systems

  • Professional Mac-based capture and monitoring workstations

  • Network-attached storage for temporary working files and quality-control copies

For analogue formats, we capture through professional hardware rather than relying on basic consumer USB capture devices.
 

U-matic Archiving

We also offer digitisation of selected U-matic video formats.

U-matic was widely used by broadcasters, educational institutions, government departments, businesses and organisations, so these tapes can contain material of significant historical value.

Our U-matic workflow can include:

  • Tape inspection before playback

  • Cleaning where required

  • Dedicated U-matic playback equipment

  • Professional Blackmagic Design capture hardware

  • High-quality archival master files

  • Separate MP4 viewing copies

  • Preservation of the original aspect ratio and video structure where appropriate

MiniDV and DVCAM Archiving

MiniDV and DVCAM are already digital tape formats.

Where possible, we transfer them directly via FireWire (IEEE 1394) rather than converting them through an analogue or HDMI capture process.

This allows us to preserve the original digital DV data recorded on the tape.

For archival jobs, we can retain the native DV file as the master and also provide a separate MP4 version for everyday viewing.

This is particularly useful for irreplaceable family recordings, documentary footage, institutional collections and material that may need to be edited again in the future.
 

VHS, VHS-C, Video8 and Hi8 Archiving

Analogue video formats require a different workflow.

We use dedicated playback equipment, Time Base Correction where appropriate and professional Blackmagic Design capture hardware to create a high-quality digital master from the original analogue signal.

For archival preservation, we can retain the footage in its original standard-definition structure rather than permanently applying unnecessary deinterlacing or upscaling to the master copy.

A separate MP4 file can then be created for normal viewing on modern televisions, computers and devices.
 

Archival Master vs MP4 Viewing Copy

For most customers, an MP4 file is ideal for everyday use. It is easy to play, copy, share and back up.

An archival master serves a different purpose.

Archival Master

  • Higher-quality file

  • Much larger file size

  • Suitable for preservation

  • Better for future editing or restoration

  • Retains more of the source information

MP4 Viewing Copy

  • Smaller file size

  • Easy to use on modern devices

  • Ideal for family viewing and sharing

  • Convenient to store on USB drives

For important material, we generally recommend keeping both.
 

Storage and Backup

Archival files can be significantly larger than normal MP4 viewing copies, so an external hard drive or SSD may be more suitable than a standard USB stick for larger collections.

We can advise on storage based on the number of tapes and the format being archived.

For valuable recordings, we recommend keeping at least:

  • One primary archive copy

  • One additional backup in a separate location

  • Ideally a third off-site or cloud-based backup

As part of our normal workflow, we also retain a temporary copy of completed customer data on our Network Attached Storage (NAS) array for 30 days, giving an additional short-term safety window after the job is completed.

Standard Digital Transfer or Archival Master

Not every job requires a full archival workflow.

For normal family viewing, our standard digital conversion service is often all that is needed.

For recordings that are rare, historically important, professionally produced or simply irreplaceable, an archival master provides an additional level of preservation.

We can help you choose the most appropriate option based on your media, its condition and how you intend to store or use the files.
 

Preserve It Before It Is Too Late

Magnetic tape and film do not last forever.

Age, humidity, mould, mechanical wear, shrinking, fading and deterioration can eventually make recordings difficult or impossible to recover.
 

Digitising important media while it is still playable gives it the best chance of surviving for future generations.
